The Opportunity

For our client, we’re seeking an A-Team player. A dynamic, encouraging, gracious, organized and patient-centric Wellness Coordinator to support our client’s growing membership-based Functional Medicine practice in Colorado Springs, Colorado. This is a rare opportunity to stand out as a first impressions professional who receives and supports patients throughout their healing and wellness journey while efficiently coordinating essential administrative responsibilities.

Our client is seeking an outstanding customer service and administrative professional who will be responsible for welcoming and guiding patients. As the central coordinating point, you’ll focus on giving patients the best first impression imaginable as you help guide new and existing patients through a welcoming process of completing appropriate forms, explaining financing options, processing payments for services, answering patient questions and keeping accurate notes in patient charts. 

With a strong attention to detail, you also make sure the office upholds a clean and tidy appearance, ensure all brochures, forms, and other information is easily accessible to patients, answer questions in a friendly and knowledgeable way, and keep a pulse on entire staff communications at all times. 

The ideal candidate will have one-on-one customer service experience. In addition, must also be extremely detail-oriented with excellent communication and exemplary administrative and coordination skills. He or she will be responsible for ensuring the practice maintains an upbeat and accepting energy, that patients are supported and receiving the highest quality of care. Helping to foster a positive, professional and vibrant culture is an important aspect of this position.

Responsibilities

  • Work closely with owners and the practice team to ensure smooth practice operation.
  • Coordinate patient navigation and front office operations.
  • Manage and maintain front office and reception area. 
  • Answer phone inquiries, guiding current and new customers.
  • Schedule appointments.
  • Update electronic medical records.
  • Maintain an organized electronic documentation/filing system.
  • Actively listen, establish and foster positive and professional relationships with patients to educate, promote, and answer questions about all services provided. 
  • Assists patients with forms and financing options.
  • Follow up with patients after visits/treatments.
  • Assist in expediting the resolution of any patient, team member or center problem/complaint to maximize satisfaction.
  • Maintain inventory of office supplies and ensure equipment is in working order.
  • Build collaborative relationships with team members for a productive work environment and to ensure the highest quality of care and customer service.

 Your Chops

  • 5+ years in health care, wellness or hospitality customer service and office administration.
  • Bachelor’s degree (preferred)
  • Strong oral and written communication skills.
  • Highly organized with a strong ability to manage priorities.
  • Digitally proficient in Microsoft Office, Google Suite, EMR/EHR/CRM systems.
  • Basic understanding of Functional / Integrative Medicine and related services.
  • Ability to apply appropriate judgment to fast-changing situations.
  • Exceptional client service and coordination skills.
  • Strong attention to detail with knack for organization, clarity and punctuality.
  • Ability to handle confidential information with discretion and confidentiality.
  • Enthusiastic, accountable, respectful, honest and resourceful.
  • A sense of ownership of assigned tasks, and always look for the best solution.
  • Ability to work well independently and with other team members.
  • Experience using electronic scheduling and billing systems.
