Office Supervisor – Integrative & Functional Medicine – Richmond VA Metro

This Integrative + Functional Medicine clinic is thriving. Providers are full. Patients are happy. Systems are smart (hello, virtual team + AI). What they don’t have yet is an on-site leader who can read the room, coach a young clinical/admin team, and keep operations tight while the remote Director of Operations focuses on big-picture growth.

That’s where you come in.

This role is ideal for a seasoned medical office supervisor who loves structure and isn’t afraid to roll up their sleeves; who can build trust with providers and hold them to workflows; and who gets excited by a wellness-forward culture.

  • Daily office flow for a 4-provider functional medicine practice—scheduling, follow-up, compliance, and making sure the day runs on time.
  • Admin + revenue support: oversee AR, billing, insurance follow-up, and get the right info to the outside billing company so patients don’t end up with surprise lab bills.
  • Team leadership on-site: mentor a developing, mixed-experience team of MAs/front office staff on professional standards, follow-through, and patient experience; delegate well; hold the line on culture.
  • Bridge between on-site and virtual staff (Philippines + U.S.-based) so everyone understands: this is ONE team, not two. You’ll help run/attend virtual huddles and keep communication human and respectful.
  • Be the point of escalation for patients—kind, discreet, and firm when needed.
  • Improve processes over time using project-management tools and practice software.
     
  • Have 5+ years in a medical office (front + back) and have already supervised people.
  • Can be warm and approachable but still address performance, conflict, or boundary issues—yes, even with providers.
  • Like mentoring people who are newer to the workforce and need coaching on “this is how we do professional.”
  • Are tech-comfortable (EMR/EHR, QuickBooks, Google Suite; they’ll train on the rest). 
  • Care about root-cause/wellness medicine and don’t want to work in a churn-and-burn clinic.
  • Believe in ownership: see it → say it → fix it.
  • You report to an excellent but remote Director of Operations—your job is to be her eyes, ears, and culture-carrier on-site.
  • The team already uses virtual clinical/admin staff overseas—you’ll help keep that integrated so on-site staff don’t forget how much those teammates do.
  • Patients are generally happy, aligned, and respectful—and the practice protects its staff if someone isn’t.
